Ailistair Privacy Policy

This Privacy Policy explains how Dotfo ApS (CVR DK37389021), Gunnar Clausens Vej 68, 8260 Viby J, Denmark (“Ailistair,” “we,” or “us”) collects, uses, shares, and protects personal data when you visit ailistair.com, sign up for a tenant workspace, access the dashboard, or use the Ailistair chat widget (collectively, the “Services”).

1. Scope & Roles

Ailistair acts as a controller for data about site visitors, staff accounts, and prospective customers. We act as a processor for Customer Data sent through the chat widget, dashboard, APIs, or stored knowledge bases. Customers are responsible for providing a lawful basis (e.g., consent or legitimate interest) for processing end-user data.

2. Data We Collect

  • Account information. Names, email addresses, job titles, workspace identifiers, billing contacts, and plan selections.
  • Billing details. Payment method tokens, invoices, receipts, and transaction history processed through Stripe. Ailistair never stores full card numbers.
  • Chat and knowledge data. Messages, guardrail instructions, MCP tool configurations, knowledge source metadata, and token usage metrics processed for your workspace.
  • Support interactions. Emails, contact form submissions, and support transcripts.
  • Technical data. Device information, browser type, IP address, and usage analytics gathered via cookies or similar technologies.

3. How We Use Data

  • Deliver, secure, and improve the Services.
  • Provide customer support and communications related to your account.
  • Bill for subscriptions, token bundles, and other paid features.
  • Monitor abuse, guardrail violations, and system health.
  • Comply with legal obligations and enforce our Terms of Service.

We process personal data on the following legal grounds: (i) contractual necessity to deliver the Services, (ii) legitimate interests in maintaining platform security and informing customers of product changes, (iii) compliance with legal obligations, and (iv) consent where required (e.g., marketing emails).

5. How We Share Data

We share personal data only with:

  • Service providers such as Stripe (billing), Microsoft Azure (hosting), OpenAI (model inference), Mailgun (email), Twilio (notifications), and analytics/monitoring tools under data processing agreements.
  • Authorized personnel at Ailistair who need access for support, security, or billing.
  • Law enforcement or regulators when required by applicable law.
  • Successors in the event of a merger, acquisition, or corporate reorganization.

We do not sell personal data.

6. Data Retention

We retain account and billing records for as long as your workspace is active and for the duration required by law (typically up to seven years for invoices). Chat transcripts and knowledge data are retained until you delete them or close your workspace. After termination, we delete most Customer Data within 30 days, unless retention is required for legal or security purposes.

7. Security

We employ industry-standard safeguards including encryption in transit, segmented tenant data stores, role-based access controls, audit logging, and regular security reviews. Customers are responsible for safeguarding login credentials and configuring guardrails properly.

8. International Data Transfers

Ailistair operates from the European Economic Area (EEA) and may transfer data to the United States and other jurisdictions where our service providers operate. We rely on appropriate safeguards such as the EU Standard Contractual Clauses and ensure vendors maintain comparable protections.

9. Your Rights

Subject to applicable law, you may request access, correction, deletion, restriction, portability, or object to processing of your personal data. Workspace owners can self-serve many requests through the dashboard. Additional requests can be submitted to privacy@ailistair.com. If we act as a processor, we will inform the relevant customer of your request so they can respond.

10. Cookies & Tracking

We use cookies and similar technologies to remember preferences, authenticate sessions, and analyze site usage. You can control cookies through browser settings, but disabling them may limit functionality. We do not use third-party advertising cookies.

11. Children

The Services are not directed to individuals under 16. If you believe a child has provided us with personal data, contact us and we will delete it.

12. Changes & Contact

We may update this Privacy Policy from time to time. We will post the updated version here and revise the “Last updated” date. For significant changes we will notify account owners by email or dashboard notice.
